JobDiva AI Integration: What to Check Before You Buy
Evaluating a JobDiva AI integration? Use this 7-point checklist on write-back, API access, sync, failed writes and oversight before you sign anything.

"Going to a third-party platform, copying, pasting everything back and forth is painful." That's Saicon's Director of Recruiting (US), Josh Murphy, on why his team lives in JobDiva. He's right to be picky. A real JobDiva AI integration writes its work back onto the candidate and submittal records your recruiters already use. A weak one is a dashboard with a JobDiva logo on the sales page.
Before you sign, check seven things: where results land, how the tool authenticates, whether it copies your database, how it syncs, what happens when a write fails, who can override the AI, and what it costs to leave.
The demo is the easy part
A demo shows you the AI. It never shows you the plumbing, and the plumbing decides whether recruiters keep using the tool or quietly go back to spreadsheets.Admin is already the drag. A Totaljobs study of 748 HR leaders and 2,025 UK jobseekers, reported by Staffing Industry Analysts in August 2025, put manual admin at 17.7 hours per vacancy. Three of those hours went on post-interview notes alone. The sample is UK-based, but any US recruiting floor will recognize the pattern.
An AI tool that adds a second system to babysit doesn't remove that work. It moves it.
The 7 checks before you buy
1. Where do the results land?
On the candidate and submittal records inside JobDiva, not in a separate dashboard. Run the copy-paste test: have the vendor screen a candidate live, then open that candidate in your own JobDiva account. If the score, summary and notes aren't there, your recruiters will be the integration.
Red flag: "You can view everything in our dashboard."
2. How does it authenticate, and who holds the keys?
With a dedicated API-only user, never a recruiter's login. JobDiva's API needs a Client ID, a username and a password. JobDiva issues the Client ID, so it has to be requested from JobDiva support.Token lifetime isn't in the public documentation. Ask how expiry is handled, and ask the vendor to list exactly what the integration can read and write.
Red flag: the vendor asks for an administrator's personal credentials.
3. Does it copy your candidate database?
Find out before go-live, not after. Ask what is stored outside JobDiva, where, for how long, and what is deleted when you leave. Some tools index your database to power matching, and that can be fine. It just shouldn't be a surprise.Get the answer in your data terms, not on a sales call.
Red flag: "Don't worry about it."
4. How does data sync, and how fast?
Ask whether the tool reacts to events or polls on a schedule, and how long the gap is. Public information is mixed. Here's why it matters. If a recruiter submits a candidate and the AI keeps texting them because it hasn't caught up, that candidate now has two conversations going.
Red flag: no answer on lag.
5. What happens when a write fails?
Someone should see it, and a retry shouldn't create a duplicate. Ask to see the failure log and the retry behavior. The same review reports that JobDiva's updates and deletes are POST operations with no documented idempotency, so a retried write could duplicate a note unless the vendor handles it. Confirm that with the vendor.
Red flag: "That doesn't really happen."
6. Who can override the AI, and can you see why it decided?
Every score needs a reason a recruiter can read, and a recruiter needs the last word. Avoid tools that reject candidates automatically by default, and ask for an exportable audit trail. At SGA, Asendia's AI flags suspected fraud and gives recruiters a scorecard for each candidate. The recruiters make the call.
Red flag: auto-reject is on by default.
7. What does it take to leave, and who answers when it breaks?
Get support response times in writing, and ask what happens to your data if you cancel. Ask for rate limits too, since JobDiva's public specs don't state them. There's a quiet upside to true write-back: the results live in your JobDiva records, so they stay with you if you switch tools.
Red flag: results exist only inside the vendor's platform.
Walk away if you hear any of these
- "You can view everything in our dashboard."
- "We just need an admin login to get started."
- "Don't worry about where the data lives."
- "Sync is near real-time" (with no number attached).
- "Failed writes aren't really a thing."
- "The AI decides, so your team doesn't have to."
Pilot it on three jobs
You don't need a company-wide rollout to find the cracks.
- Pick three live jobs of different types, such as one high-volume and one niche.
- Run the copy-paste test on day one and again after a week.
- Search a sample of candidates for duplicate notes or submittals.
- Track candidates screened, candidates submitted, interview rate and recruiter admin time. Then ask two recruiters what they still do by hand.
What it looks like in practice
Asendia builds AI recruiter agents that work inside JobDiva, so we've been asked every question above. These customer results are self-reported. Read them as evidence, not proof, and run this checklist on us too.
At Saicon, 38 of 50 internally submitted candidates went on to clients (76%), and 26% of client submissions led to interviews. The first placement came in under four weeks after go-live. About 1% of candidates opted out of automated outreach.
At SGA, one job drew about 400 applicants. The team built three screening workflows by job type, and about half of submittals came from candidates picked up mid-workflow. Director of Client Delivery Ryan Latasa said it frees recruiters to "spend more time in classic recruiting and making a relationship with the candidate."
That's the point. The AI does the sorting. The recruiter still does the recruiting.
The bottom line
Ask where the results land, and make the vendor prove it in your own JobDiva account. If the answer is "a dashboard," you're buying another place to copy and paste from. The other six checks take an afternoon.

FAQ
Does an AI tool need a separate JobDiva seat?
It depends on the vendor and your JobDiva agreement. Some vendors say they need only a dedicated API user. Confirm with your JobDiva representative before you sign.
What should an AI tool write back to JobDiva?
At minimum, a score or summary, the reasons behind it, and any notes or transcripts, attached to the candidate or submittal record. Anything that lives only in the vendor's platform is not written back.
Should an AI recruiter reject candidates automatically?
Not by default. Every score should have a reason a recruiter can read, recruiters should be able to override it, and you should be able to export a record of what the AI did.
